These Terms and Conditions explain how bookings, payments, cancellations and passenger journeys are managed when you reserve an airport transfer or private chauffeur service through YourPrivateDriver.eu.

A vehicle is reserved only after the booking information and online payment have been successfully completed.
Cancellation deadline
Cancellations must reach us at least 48 hours before the scheduled pickup time to qualify for a refund.
European coverage
Services may be performed directly or through an approved professional transport partner operating in the relevant country.

These Terms and Conditions apply to airport transfers, railway-station transfers, city-to-city journeys, hourly chauffeur services and other private transport reserved through YourPrivateDriver.eu.
References to “Your Private Driver”, “we”, “us” or “our” mean the operator of YourPrivateDriver.eu and, where relevant, the professional chauffeur or transport partner assigned to perform the journey.
References to “customer”, “passenger”, “you” or “your” include the person making the reservation and every passenger travelling under that booking.
Your Private Driver may use professional local partners to provide consistent coverage across different European countries and cities.
Creating and checking your booking
The customer is responsible for entering complete and accurate information when making a reservation.
Locations and timing
Check the pickup address, destination, date, local pickup time and any intermediate stop.
Reachable passenger
Provide a working mobile telephone number, including the correct international country code.
Passengers and luggage
Declare the correct passenger number and any large, unusual or excessive luggage.
Flight numbers, train details and hotel information must be entered correctly whenever they are relevant to the pickup.
Before completing payment, the customer must check the complete booking summary. A confirmation should also be reviewed immediately after it has been received.
Your Private Driver is not responsible for a failed, delayed or misdirected transfer caused by inaccurate information supplied by the customer, including an incorrect airport, terminal, city, address, date, time, flight number or telephone number.
Changes requested after confirmation
Requests to change a date, time, route, vehicle category, passenger number or pickup location are subject to availability.
A change is effective only after it has been accepted by us in writing. A revised price may apply where the requested service is different from the original reservation.
Prices, quotations and payment
The price presented during checkout applies to the journey and service details shown in the booking summary.
- Payment is required online when the reservation is made.
- Payments may be securely processed through Stripe or another authorised payment provider.
- The reservation is not confirmed while payment remains incomplete, declined or under review.
- Cash payment to the chauffeur is not available unless we have expressly authorised it in writing.
A displayed quotation, saved itinerary or incomplete checkout does not reserve a chauffeur or vehicle. Availability may change until the payment and booking have been confirmed.
What the confirmed price covers
Unless otherwise stated, the confirmed price covers the booked vehicle, chauffeur and agreed route. It does not automatically cover services or costs that were not included in the original booking.
Additional waiting, extra stops, route changes, special equipment, unusual luggage, parking, ferry crossings, road charges or other requested additions may be invoiced separately.
Important: the chauffeur is not required to perform a substantially different journey without prior approval and payment of any applicable price difference.
Cancellation and refund policy
Cancel before the 48-hour deadline
A cancellation received at least 48 hours before the scheduled pickup time qualifies for a refund of the journey price.
Payment-processing and administrative costs equal to 4% of the booking value may be deducted from the refunded amount.
Refund available
The journey price is refundable, subject to the applicable 4% payment-processing and administrative deduction.
No refund
The booking becomes non-refundable because the chauffeur and vehicle have already been allocated.
The cancellation deadline is calculated using the local pickup date and time stated in the confirmation.
Cancellations must be submitted directly to Your Private Driver using the contact information provided on the website. Cancelling a flight, train, hotel, event or other travel arrangement does not automatically cancel the booked transfer.
No-show bookings
A no-show is non-refundable. A passenger may be treated as a no-show where they are absent from the agreed meeting point and cannot be contacted within the applicable waiting period.
Refund processing
Approved refunds are returned through the original payment method. The time needed for the amount to appear may depend on the payment provider, card issuer or bank.
Requests made inside the 48-hour period, including cancellations caused by a change of personal plans, are not refundable.
Pickup arrangements and waiting time
Passengers must be ready at the agreed pickup point and keep the mobile telephone number provided during booking switched on and reachable.
45 minutes included
Airport reservations include 45 minutes of free waiting time after the flight’s actual landing time.
15 minutes included
Hotel, home, office, railway-station and other pickups include 15 minutes of free waiting after the confirmed pickup time.
Once the included waiting period has ended, waiting may be charged at €10 for every started period of 15 minutes.
The chauffeur is not required to wait indefinitely. Where the passenger cannot be located or contacted, the journey may be closed as a no-show after a reasonable attempt has been made to establish contact.
Flight monitoring
Where a valid flight number has been supplied, the chauffeur may adjust the airport pickup in accordance with the publicly available arrival information.
Flight monitoring does not remove the passenger’s responsibility to provide the correct flight number, arrival airport, date and terminal.
Meeting-point changes
Airport rules, security controls, road closures, hotel restrictions or local traffic arrangements may require the chauffeur to use a nearby alternative meeting point.
Passengers should follow the pickup instructions sent by the chauffeur or customer-service team, especially at large airports with several terminals.
Additional services and charges
The following amounts may apply when the relevant service or route is requested. Availability must be confirmed before travel.

These charges may be included during online booking, added after review or requested separately where the information was not available at checkout.
Where the actual external cost of a ferry, water taxi, toll, parking facility or mandatory road charge changes, we may notify the customer of the revised amount before the journey.
Child seats
Child seats must be requested in advance. The customer remains responsible for selecting a seat suitable for the child’s age, height and weight.
Where a customer brings their own child seat, the seat must fit safely in the booked vehicle. The accompanying adult remains responsible for checking that the child is properly secured.
Animals
Animals must be declared before the reservation is confirmed. They must be transported safely and in accordance with local regulations. Passengers remain responsible for any cleaning or damage caused by their animal.
Passenger conduct, luggage and vehicle care
Passenger and luggage capacity
The number of passengers must not exceed the legal seating capacity of the reserved vehicle. Every passenger must use an available seat belt.
Luggage must fit safely inside the luggage compartment without obstructing the chauffeur’s visibility or creating a safety risk.
Oversized baggage, wheelchairs, sports equipment, instruments, large pushchairs or an unusually high number of suitcases must be declared before booking.
The chauffeur may refuse unsafe excess luggage or additional passengers who were not included in the reservation. A refund is not due where the booked vehicle was selected using incorrect passenger or luggage information.
Behaviour inside the vehicle
- Smoking and vaping are prohibited inside the vehicle.
- Illegal substances and dangerous objects are prohibited.
- Passengers must behave respectfully towards the chauffeur and other passengers.
- Food and outside drinks should not be consumed in the vehicle unless the chauffeur has given permission.
- Complimentary refreshments supplied as part of a premium service may be consumed responsibly.
- Passengers must not interfere with the driver or compromise road safety.
A chauffeur may refuse to begin or may terminate a journey where a passenger is violent, threatening, abusive, dangerously intoxicated, carrying prohibited items or creating a serious safety or cleanliness risk.
No refund is due where the passenger’s conduct causes the refusal or termination of the service.
Cleaning and damage
Minimum cleaning charge: €150
A fixed charge of at least €150 applies where specialist cleaning is required because a passenger vomits or seriously soils the vehicle.
Additional costs may apply
A higher amount may be charged where cleaning, repairs or loss of vehicle availability exceeds the minimum charge.
The customer is responsible for damage caused by themselves, members of their group, children, animals or luggage.
Lost property
Passengers should check the vehicle before leaving. We will make reasonable efforts to identify and store items found in a vehicle, but we cannot guarantee recovery.
Collection, postage, courier delivery or a chauffeur’s return journey may be charged to the owner of the item.
Delays, disruptions and responsibility
We aim to perform every confirmed journey safely and punctually. Nevertheless, travel times cannot be guaranteed where circumstances fall outside our reasonable control.
Such circumstances may include:
- Severe or unexpected traffic congestion.
- Accidents, road closures, diversions or police restrictions.
- Weather conditions, flooding, snow or natural events.
- Strikes, protests, public events or security incidents.
- Airport, port, border-control or railway disruption.
- Mechanical failure that could not reasonably have been anticipated.
- Government action or another event beyond reasonable control.
Time-sensitive connections
Customers are responsible for selecting a pickup time that allows a reasonable margin for traffic, check-in, security, border procedures and other travel formalities.
We are not responsible for a missed flight, train, ferry, appointment, hotel reservation or event where the transfer was affected by events outside our reasonable control or where insufficient travel time was allowed.
Scope of liability
To the extent permitted by law, Your Private Driver is not liable for indirect, consequential or purely economic loss resulting from a delayed, interrupted or unsuccessful journey.
Where liability may lawfully be limited, the maximum liability arising from a booking will not exceed the amount paid for the affected transport service.
Nothing in these Terms and Conditions excludes or restricts liability that cannot legally be excluded, including mandatory consumer rights.
If an assigned vehicle becomes unavailable, we may provide a replacement vehicle or professional transport partner offering a reasonably equivalent service.
Complaints, personal data and applicable law
Complaints
A complaint should be submitted as soon as reasonably possible and should include the booking reference, journey date and a clear description of the issue.
Photographs, receipts or other supporting evidence should be included where relevant. We may request further information before completing our review.
Personal information
Personal information supplied during booking may be used to process payment, organise the journey, contact passengers, assign a chauffeur, handle customer-service requests and comply with legal obligations.
Necessary booking information may be shared with the chauffeur, transport partner, payment provider or technical service provider involved in delivering the service.

Entire agreement and validity
The booking confirmation and these Terms and Conditions form the agreement governing the reserved journey.
If one provision is found to be invalid or unenforceable, the remaining provisions will continue to apply.
A failure to enforce a provision on one occasion does not amount to a permanent waiver of that provision.
Applicable law
These Terms and Conditions are governed by Belgian law, without removing any mandatory protection that applies to a consumer under the law of their country of residence.
The parties should first attempt to resolve any disagreement through direct communication. Where no solution can be reached, the dispute may be submitted to the competent court in accordance with applicable law.
